Job Responsibilities
- Vendor Management: Assist in building and maintaining strong relationships with suppliers, negotiating favorable terms, and monitoring supplier performance
- Purchase Order Processing: Create and process purchase orders accurately and timely, ensuring compliance with procurement policies and procedures
- Contract Management: Support the contract management process, including contract renewals, amendments, and vendor performance reviews
- RFQ/Tender Support: Assist in the preparation and evaluation of RFQs/tenders, ensuring compliance with procurement guidelines
- Inventory Management: Collaborate with departments to maintain optimal inventory levels and minimise stockouts
- System Management: Utilize the E-procurement systems (Oracle NetSuite) to track purchase orders, invoices, and other procurement data
- Data Analysis: Analyze procurement data to identify cost-saving opportunities and improve efficiency
- Administrative Tasks: Handle administrative tasks such as filing, record-keeping, and report generation
- Audit: Ensure adherence to all Procurement SOPs. Maintain compliance with internal process, hygiene, Halal, and sustainability annual audits. Ensure all necessary certifications are in place
- Perform any other duties as assigned
Job Requirements
- Minimum 1 year of relevant experience in the hotel industry
- Candidate must possess at least Diploma or equivalent
- Proficient in English, ability to converse to liaise with Mandarin-speaking associates will be an advantage
- Strong knowledge in both food and non-food categories and suppliers
- Strong working knowledge on Negotiation and Procurement Policies
- Proficiency in Microsoft Office Suite and experience with procurement software or ERP systems
- Ability to multitask and prioritize tasks in a fast-paced environment
- Positive mindset with good attitude and integrity
- Good Communication skills with all levels of colleagues and suppliers with confidence to achieve the best deal for the hotels
